Privacy Notice for the Guild
The Church of Scotland Guild is providing you with this information to comply with data protection law and to ensure that you are fully informed and we are transparent in how we collect and use your personal data.
Who is collecting the information?
The Church of Scotland Guild is the Data Controller. We have an appointed Data Protection Officer (DPO), Alice Wilson, who can be contacted by emailing: Privacy@churchofscotland.org.uk
Why are we collecting it and what are we doing with it (Purpose)?
We are collecting your personal data in relation to your role in the Guild. This includes at the Local Guild level, the Guilds Together and at the National level. We gather your data and provide relevant information to you in relation to Guild work, including details regarding events, for example the Big Sing and the Annual Gathering.
Your Personal Data
Name, address, telephone number and email address. We also collect what role you have in the Guild, including Convenor, Treasurer, Contact Person, Project Coordinator, Guild link, Resource Coordinator and where applicable Vice-Convenor.
Due to the nature of the work, we do not directly collect special category data (in this case religious beliefs) but religious beliefs are implied as a result of your membership.
How are we collecting this information? What is the source?
We collect this information directly from you.
The lawful basis for the processing
The lawful basis for processing is UK GDPR Article 6(1)(a) "the data subject has given consent to the processing of his or her personal data for one or more specific purposes"
For special category data the lawful basis for processing is UK GDPR Article 9(2)(a) "the data subject has given explicit consent to the processing of those personal data for one or more specified purposes, except where domestic law provides that the prohibition referred to in paragraph 1 may not be lifted by the data subject".
Who we share the information with
The Guild does share your data via the Church's Central Information database (CIS), so Church of Scotland Councils and Departments can send you relevant information to distribute within your Guild.
JMC Print Services Ltd are used to publish and distribute the Guild magazine. They are a processor and only act on our instructions. There is an appropriate contract and controls in place.
We also share your data with CrossReach, the Social Work arm of the Church of Scotland. This sharing is for the purpose of issuing to all members CrossReach's Christmas cards magazine. There is an appropriate data sharing agreement in place, with appropriate controls and safeguards.
How long do we hold the personal data?
We hold your data for as long as you are a member of the Guild. If you are an Office Bearer and have moved position and left the Guild, your data will be deleted immediately and the new Office Bearer's details are entered into the database.
