The Church of Scotland Stewardship and Finance Department is providing you with this information to comply with data protection law and to ensure that you are fully informed and we are transparent in how we collect and use your personal data.
Who is collecting the information?
The Church of Scotland is the Data Controller. We have an appointed Data Protection Officer (DPO), Alice O'Sullivan, who can be contacted by emailing: Privacy@churchofscotland.org.uk
Why are we collecting it and what are we doing with it (Purpose)?Â
We are collecting names and email addresses entirely for the purposes of communicating with those who have signed up to attend an online event hosted by the Church of Scotland's Stewardship Team. This personal data may be used to alert participants to any changed arrangements before the event, or to provide follow-up information in the immediate period after the event.
What personal data do we collect?
The personal data collected is minimal and only requires each participant's first name, surname and email address.
How are we collecting this information? What is the source?
The data we receive in relation to our online webinars is collected by Eventbrite for the purposes of event registration. The data is collected through the Eventbrite platform and the registration process for each webinar. A spreadsheet is downloaded from Eventbrite by the Stewardship Team Leader, in order to generate emails with event related information and handouts.
The lawful basis for the processing
The lawful basis for processing the personal data under data protection law is UK GDPR Article 6(1)(e) "processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller." This is due to the Church of Scotland Act 1921 which provides the Church with authority to govern itself in matters spiritual by virtue of this Act.
Who we share the information with:
We do not share this personal data or use it for any purposes outwith those stated above. As already mentioned we do use Eventbrite as the platform for event registration. There are appropriate contractual arrangements in place with Eventbrite.
How long do we hold the personal data?
The data for each event is held for 2 months, prior to the data being securely destroyed following Church procedures.
Individuals’ rights in relation to this processing
Data protection laws have a number of rights for individuals. This is detailed on our page on your rights and choices.
Some rights only apply due to the lawful basis. For this processing the lawful basis is public task. This means that all the rights apply except for the right to erasure and the right to data portability.
